Mapping Triggers Without Overloading Your CRM Team

Subscription teams often add triggers faster than they document them. The result is overlapping sends, confused operators, and subscribers who receive two messages for the same action.

We start every engagement with a trigger inventory: event name, source system, intended audience, and suppression rules. The inventory lives in a shared sheet your CRM operator can update without opening the ESP builder.

Once the inventory is stable, we layer priority scores. High-priority triggers—billing failures, trial expiration—should never compete with low-priority nudges like newsletter reminders. Priority scoring prevents the "everything is urgent" trap.

Finally, we assign owners. A trigger without an owner becomes orphaned within two quarters. Our clients who keep owners named in the inventory report fewer emergency pauses during product launches.
